Instructions for booking the studio.
Any hold, book, or standby requires the following information sent to us via email:
exact dates and time in and out required,
any additional services or rentals that are known so far
your full contact info, including full name, company name, website URL, email address (if different from sending email), address, main phone, cel / alt / evening phone.
if you require a studio showing before booking, up to 15 minutes are available for you to do so, and take any extra reference photos / measurements if required. It is by appointment only, as long as the studio is not rented that day.
Please note, we cannot book your production without valid credit card info and a completed agreement form on file, and a booking form for that day. If the first two items are already on file and current, you can also just email in the booking details or fax the booking form.
First, contact us (email preferred, with your name, company, phone numbers, and email address), to check availability. If you do not have access to email, then call 647-895-5232.
There are three type of booking scenarios:
1) HOLD – no deposit required.
TIP: Use this when you want to have a date that will likely be available, or perhaps several dates (three are recommended, listed in order of preference), to enable you to start coordinating availability of clients, crew, artists, models, subjects, etc. Once you have a clear idea of the availability of everyone for those potential dates, you will want to convert the HOLD into a BOOK. When you have a HOLD, there is no assurance that you will get that date, but I someone else inquires about it, we will try to steer them toward a different date. If they do not have that flexibility, and must have that date you have on hold, you will lose that date instantly. If that is not a risk that is acceptable, than just do a BOOK, and if need be, cancel it, and accept the small financial consequences of doing so. Although doing a HOLD does not cost anything, we ask you to be considerate, and let us know right away if you do not need that date anymore. You can change a hold twice, and the third time, it will need to be a BOOK.
2) BOOK – Requires a minimum a 50% deposit, or full prepayment for bookings $300 or less, not incl taxes) of all base rental charges and equipment rentals. Any special arrangements or extensive pre-production, will be charged accordingly, whether the studio is actually used or not.
If you book, AND cancel or postpone, 7 or more days before your rental (requires notification via email), your deposit will be credited towards future rentals of studio 12, and is valid for up two 3 months from initial booking date. If you cancel or postpone within 24hrs to 7 days emailed notice, you will be credited half the deposit. If you cancel or postpone within 24 hrs, there is no credit given.
TIP: Use a BOOK when you have all or almost all your details arranged, or if you cannot afford to take the chance of losing a date. Upon booking, the full rental amount will be charged via your payment method of choice. Pre-booked overtime will also be charged. Upon clear payment, you will be BOOKED, whereby that date / time is guaranteed to be available to you. For partial or discounted days, there is no future use credit given for cancellations or postponements. For full, full-rate days, If you cancel 7 days or more before the booking, 2/3 of your base rate will be credited toward your account for future bookings. If you cancel between 24 hrs and 7 days before your booking, 1/3 will be credited. If you cancel within 24 hrs, there will be no credit given. Equipment rental cancellations or substitutions within 24 hrs., or during the shoot, will incur a 50% surcharge. Additions to rental equipment during shoot will incur a 50% surcharge. Some rental items may not be on premises, or easily accessible, and may not be available within 24 hrs. or during a shoot. There are no cash refunds when booking. If you are not willing to take the financial responsibility of a booking, then please just do a hold. Please understand that once you book, we turn away every other client who wants that slot, so that is why we have to charge some type of cancellation for it. For partial days, they often will prevent full day bookings by other clients, so that is why there is no credit given. If you think there is a high chance that you may need to cancel a booking, but need the assurance of potentially having that day available, then do a full day book instead, giving you more flexibility, no need for overtime, etc...while giving you the potential of partial recovery of your fees.
3) STANDBY (only available to repeat clients) – at the $150 per day, full prepayment of booked time and rental equipment is required. No credit given for cancellation or postponement by you. However, if we bump you for a non-standby rental, you will be given full, non-expiring credit for future use.
TIP: use this for testing, flexible relatives, or flexible clients with very low budgets. Essentially, you place your name on a time slot. If no one books that slot by 24 hrs before, it is yours, for eseentially HALF PRICE!
PLEASE REMEMBER...
All forms need to be filled out in full, and you have to have at least $1000 available credit (for any extra charges or damages), plus the total estimated value of the rental, available clear on your credit card. If your card is denied, you will only be able to pay via cash, Interac, or bank check / money order, and may be asked to provide additional security for certain equipment or scenarios, or be refused equipment rental.
Note that the website contains the most up-to-date pricing and conditions, so in the case of out-dated information on paperwork, the website on the date of booking the studio will be the final word. You have the option of updating any conflicting information on the paperwork before signing.
When you contact us with your full name, email, land and cel phone numbers, and website URL, you will be emailed links to the following documents, plus info that you can forward to crew, models, clients, etc.

Boa Studios Booking Form (needs to be submitted for every rental, since it contains the specifics of that project)
Once you have downloaded, read, understand, and filled them out, please submit the forms via fax (847) 557-2216, email, or drop off with deposit . You can call in the deposit via credit card as well.
TIPS: If you are renting equipment, email or call us to find out availability and pricing, to make sure the equipment you need is available, or tell us what you need and we may have it , but maybe it is not listed yet. If you are using unfamiliar equipment, we suggest renting it, along with the studio, for a half-day shoot to practice with it, or downloading a brochure or manual for it from the manufacturer's site. On equipment rentals, we have the right to also reserve the value of the equipment on your credit card. It will not be charged unless there is loss or damage, but rather just temporarily authorizes the amount on your card, to ensure recovery of any possible losses.
On the day of the shoot, if you choose to use the studio earlier than your rental start time, that extra time will be be charged as emergency overtime. Please give yourself 15-30 minutes after your official start time to get everything together, giving your models and clients a later arrival time than your own. We will not let in crew or models until after the authorized persons renting the studio arrive. There is a common waiting area at the top of the stairs for any early arrivals. Make sure everyone knows exactly where the building is. When we respond to your email inquiry, we will include instructions that you can forward to others. You, as the renter, can also buzz studio 6, our production offices, to let you in initially. After that, everyone else should be buzzing studio 12.

Prices stated do not include 13% HST. Prices can change without notice, so please confirm all prices when booking the shoot.
On the day of the shoot, the first time you rent, a valid driver's license will be required as ID, and will be photocopied and kept on file.
The balance of the rental (if any), plus any overtime, damages, extra services, and equipment rentals, will be due at the end of the shoot day, and can be via cash, check, credit or debit card.
